Terms & Conditions
These Terms & Conditions describe the conditions under which Chacon Dental Clinic provides dental care, accepts appointments, and receives payment at our practice in Manuel Antonio, Costa Rica. They apply in addition to our Terms of Service and Privacy Policy.
1. Consultations & Treatment Plans
Every treatment begins with an in-person clinical evaluation. Estimates, timelines, and prices communicated by email, WhatsApp, or phone before that evaluation are indicative only and may change once the dentist has examined you, reviewed imaging, and understood your medical history.
A written treatment plan will be presented to you for approval before any non-emergency procedure. By signing or otherwise confirming the plan, you consent to the described treatment, its risks, benefits, and alternatives.
2. Appointments, Deposits & Cancellations
Please arrive 10 minutes before your scheduled time. Late arrivals may need to be shortened or rescheduled to protect other patients' appointments.
For extended appointments (implants, surgery, full-mouth reconstruction, veneers, and multi-visit treatments) we may require a non-refundable deposit to reserve chair time and lab work.
Cancellations or reschedules made with at least 48 hours' notice are free of charge. Cancellations made with less notice, or missed appointments (“no-shows”), may be charged a fee equal to 50% of the reserved appointment value; deposits for lab-based work are non-refundable once the lab has begun fabrication.
3. Fees & Payment
Fees are quoted in US dollars (USD) or Costa Rican colones (CRC) and are payable at the time of service unless otherwise agreed in writing.
We accept cash, major credit and debit cards, and bank transfers. A surcharge may apply to certain card transactions to cover processing fees; any surcharge will be disclosed before you pay.
Multi-visit treatments may be billed in stages tied to clinical milestones (for example, implant placement, abutment, final crown).
4. Insurance
Chacon Dental Clinic is a private practice. Payment is due directly to the clinic at the time of service. On request we will provide detailed invoices and clinical documentation so you can submit claims to your own dental or travel insurer. We cannot guarantee reimbursement by any insurer.
5. Refunds
Because dental treatment is a personalized professional service, fees paid for completed care are non-refundable. If a treatment cannot be completed for a clinical reason attributable to the clinic, any unused, prepaid portion will be refunded or credited to future treatment at your choice.
6. Warranties on Restorative Work
We stand behind our work. Crowns, bridges, veneers, fillings, and implant restorations placed at Chacon Dental Clinic carry a good-faith clinical warranty against defects in materials and workmanship, provided that: (a) you attend recommended check-ups and cleanings, (b) you follow home-care instructions, and (c) the restoration has not been damaged by trauma, bruxism without a protective night guard, tobacco use, or other patient-controlled factors. Specific warranty periods are described at the time of treatment.
7. Informed Consent & Clinical Risks
All dental and surgical treatment involves risks, including but not limited to discomfort, swelling, infection, sensitivity, temporary or permanent nerve alterations, restoration failure, and reactions to anesthesia or medications. The dentist will explain the specific risks of your treatment and answer your questions before you consent to proceed.
8. Post-Treatment Care
You are responsible for following the written and verbal post-treatment instructions given to you (including medications, diet, oral hygiene, and follow-up visits). Failure to follow post-treatment care may compromise the result and may void the warranty on the affected work.
9. Medical History & Honest Disclosure
Safe care depends on the accuracy of the information you provide. You agree to disclose all relevant medical conditions, medications, allergies, and prior dental treatment before care begins, and to inform us promptly of any changes.
10. Photography & Records
We routinely take clinical photographs and imaging for diagnosis, treatment planning, and your dental record. These are kept confidentially under our Privacy Policy. We will only use anonymized before-and-after images for education or marketing with your separate written consent.
11. Minors
Treatment of patients under 18 requires the presence and written consent of a parent or legal guardian, who is financially responsible for the treatment.
12. Conduct in the Clinic
For the safety and comfort of everyone, we reserve the right to refuse or discontinue treatment for any patient whose behavior is abusive, threatening, discriminatory, or under the influence of substances in a way that prevents safe care.
13. Governing Law
These Terms & Conditions are governed by the laws of the Republic of Costa Rica. Disputes will be handled by the competent courts of San José, Costa Rica, without prejudice to any consumer-protection rights you may have under applicable law.
